Program Coordinator

The Tahoe Fund is seeking a highly-organized self-starter who enjoys thinking outside of the box and is passionate about our work to improve the Lake Tahoe environment for all to enjoy. As Program Coordinator, you will work closely with Tahoe Fund staff, board members and several dozen partner organizations to help develop and manage the Tahoe Fund’s annual portfolio of over 50 projects within our strategic plan focus areas.

Game-changing projects are at the center of what we do as an organization, and we are excited to continue expanding our impact with the Program Coordinator’s help.

This position reports to the Chief Program Officer. While the bulk of the Program Coordinator’s time will be spent on project development and management, there will also be an opportunity to engage with the Tahoe Fund’s policy work and related events, such as the annual Lake Tahoe Summit and advocacy meetings at various levels of government. In addition, you will be called on to support general Tahoe Fund efforts.

PROJECT DEVELOPMENT & MANAGEMENT RESPONSIBILITIES

Project Development

  • Help manage the current portfolio of Tahoe Fund projects, working alongside the Chief Program Officer and grantees.
  • Assist the Chief Program Officer in facilitating our annual Call for Projects, through partner outreach, Submittable grant management software build-out, and coordination with the Tahoe Fund staff and board.
  • Assist the Chief Program Officer in processing incoming grant requests throughout the year.
  • Assist the Chief Program Officer and Chief Executive Officer in developing, implementing and overseeing internally-generated project ideas that further our strategic goals.
  • Take meetings with organizations interested in partnering with the Tahoe Fund to explain our mission and process, and see if they might be a good fit for a grant.

Project Management

  • Coordinate regular communication with grantees to stay apprised of project updates and ensure grant requirements are being met, and at times, schedule meetings for the Chief Program Officer, CEO and Board with grantees and potential project partners.
  • Track project updates in Submittable, collect and compile end-of-year grant reports, and ensure grant requirements are being met.
  • Prepare written and verbal updates for the Tahoe Fund staff and board on the status of projects.
  • Assist where possible in ensuring projects are completed successfully. At times, this may require thinking creatively about how to help partners overcome unforeseen obstacles to get projects done.
  • Maintain a master list of active projects that includes key metrics and timelines  
  • Assist in planning project-related events, including groundbreakings, grand openings or demonstrations/pilots.
  • Help coordinate donor recognition at project sites.
  • Identify opportunities for project communications (i.e., eblasts, press releases, social media) in coordination with the Tahoe Fund communications team and PR consultant.
  • Occasionally, assist the Chief Program Officer and Chief Executive Officer in identifying and securing outside funding for projects.

Other

  • Attend meetings virtually and in-person that are related to the Tahoe Fund’s strategic goals to stay up to speed on local happenings and identify where Tahoe Fund may have a role to play in supporting relevant efforts. This includes joining work groups, committees and other stakeholder groups.

LEGISLATIVE & ADVOCACY OPPORTUNITIES

  • There will be opportunities, time-permitting, to assist the Chief Program Officer in identifying and advancing policy priorities through coordination with the board and partners.
  • This may include bill- and issue-tracking, particularly at the state and federal levels, engagement with elected officials, participation in advocacy meetings/days, and attending meetings with relevant advocacy coalitions, such as the California Tahoe Alliance.

REQUIRED SKILLS

  • Highly-organized and proactive with the ability to meet deadlines and independently manage multiple tasks and relationships at once
  • The ability to clearly, effectively and diplomatically communicate – in writing, in-person, and virtually – with a wide range of stakeholders, including staff, board members, donors, volunteers, project partners and other community members
  • Perceptive and sensitive to complex inter-personal dynamics
  • The ability to collect, record and relay detailed information accurately
  • A strong commitment to candor and integrity
  • Experience with and enthusiasm for being a part of a team and fostering a supportive team-first environment
  • Passionate about the local community and the Tahoe Fund’s mission
  • Experience using Microsoft Office and Google Suite
  • The ability to quickly learn new technology platforms  
  • Ability to travel throughout the region
  • A clean driving record and a safe vehicle in which to travel to events in the Tahoe Region – all mileage will be reimbursed at IRS published rate.  (2025 IRS rate is .70/per mile)
